Coding

 

The Coding feature allows you to enter data into "objective" coding fields for later search and query. Any item in the main case categories can be coded with various information fields, including document types, authors, recipients and even summaries. You may also import data directly into the Sanction II coding fields from many popular document management packages using Sanction II’s Field Importer.

 

To enter data into the coding table, select the case category, Group (Document) and Page ID from the drop down combo boxes at the top of the screen. Any time you change one of these selections, or navigate through the on screen items, any changes you have made are automatically updated.

 

Important – Changes are NOT saved when loading items by double clicking on the Query Results list of found items. You must use the navigation keys to save any changes made when loading an item from a query.

 

The Navigation buttons to the Right of the ID drop down can be used to move forward and back through document pages, and forward and back through entire Groups. Navigating through the Coding table can also be done with the following keyboard hot keys:

 

CRTL – Left Arrow – Previous Group

CRTL – Right Arrow – Next Group

CRTL – Up Arrow – Previous Page

CRTL – Down Arrow – Next Page

 

Entering data in drop down combo boxes

 

The Authors, Recipients, Issues and Objections combo boxes can store multiple entries. When you type in an entry and hit the Enter key, the text is added to the multi-item list below the combo box. You MUST hit the enter key to add an item even if you select an item directly from the drop down list.

 

The single entry drop down boxes, Type and Introduced By also require that you hit the Enter key to add the selection to the coding table. Items added to these fields are directly in the combo box, rather than in multi-item lists.

 

To flag an item as Privileged, select (or deselect) the Privileged check box. The Flag check box can used to temporarily "flag" an item for quick retrieval later.
