Missing File References
If you receive the following error message while adding transcript databases to a Sanction II case:

the media files associated with the transcript were not located in the path specified in the source transcript database. This can occur when the transcripts are time stamped from a different computer, and the transcripts have been exported out using the file paths from the original computer.
You must update the file paths for these media files in order to use the Media Clip features and synchronized text playback.
(If you are using CDs for your media files, and the path on the CD matches the path in the error message, than you may ignore the message. See the note below on drive letters)
Updating File Paths
To update the paths for the missing references:
1. Double click on the referenced Media file group in the tree view.
2. Right click on the first ID in the List view and select Edit from the pop up menu.
3. Click on the Locate button to locate the missing file.
4. Click on the Update button.
Note- if there are multiple files in the media group and these files are all located in the same directory, click on the Update Entire Group Path check box. This will change the path for all the files in the group so that you do not have to edit each entry individually.
(Clicking on the "Do not display this message again" check box disables this prompt only for the current operation. This is useful if you are dragging and dropping multiple transcripts at one time, however, the next time you add a transcript with a missing reference, you will be prompted again.)
Important!
You can avoid this message by following the recommended time stamping procedures and maintaining consistent file paths for all of your Media Files. If you are using a Service Bureau to encode and synchronize media files, be sure they deliver the transcript databases using the file paths you intend to use on your computer. Otherwise you will have to continually update file paths each time you add a transcript.
Verdict Systems recommends that media files used for time stamping be located in one of two locations – a subdirectory off of the root called \Videos or \Media, or in the CaseItems directory for the case the files belong with. Using the root directory is a more flexible method, as this allows you to use either a hard drive or CDROM to store the media files without having to change the file path (Sanction II ignores drive letters, so a media file located on a CD in F:\Videos or G:\Videos, etc. will be located correctly if copied to C:\Videos without changing any file path information).
Using the CaseItems subdirectory requires that the Service Bureau create a case database with the identical name used by the end user. You must also then copy the media files manually into this directory.
